Updated on 13 October 2026. The figures were measured from 4 to 13 October 2026 in the agent's conversation log.
In short
- RapiPlaga, a pest control company in Málaga and the Costa del Sol, has had a Tubot AI digital employee answering its WhatsApp since 21 July 2026.
- From 4 to 13 October 2026 it handled 174 conversations, gave 23 quotes using the company's price list (average amount: €341) and took 11 appointment requests.
- 22% of those conversations started outside RapiPlaga's office hours, and 69 replies went out between 22:00 and 7:00.
- Each appointment request creates the customer record and the appointment in Evisane, the company's management software. Since 12 October, on the day before each visit, the AI sends a reminder with the arrival time slot.
- Anything that needs human judgement (maintenance, guarantees, complaints) goes to the team with an email summarising the case.

What problem did RapiPlaga have?
RapiPlaga's WhatsApp is its front desk. People mostly ask three things there: how much it costs, when someone can come and what guarantee the treatment comes with. Answering them well is not trivial: the price depends on the pest, the type of property and the location, and the company works with a matrix of 112 locations with surcharges, discounts and areas where it does not provide a service. While the team is out on treatments, those questions wait.
And in pest control, waiting costs money. Someone with cockroaches in the kitchen or bedbugs in the mattress hires the first company that gives them a clear price and a date. Many people write at night or at the weekend, which is when they notice the problem.
What does the AI do on RapiPlaga's WhatsApp?
The agent handles the first part of each conversation, from the question to the quote and the appointment, and leaves the team whatever needs a person. It always introduces itself as an AI assistant.
1. It replies straight away, at any hour
It replies in seconds, in Spanish or English, even in the small hours. It understands text, photos and voice notes, and always replies in writing: RapiPlaga preferred not to use audio replies.
2. It gives the price from the company's price list
The price is not made up by the language model. It comes from a calculator built on RapiPlaga's price list, which crosses the pest, the type of property and the location with the coverage matrix, and it is a fixed price with VAT included. If the location is not in the matrix or the case falls outside the price list, it gives no figure: it passes the case to the team to assess.
3. It takes the appointment and logs it in Evisane
When the customer accepts, the agent takes their details and address and sends the request to the team. Since 16 September 2026, each request also creates the customer record and an unassigned appointment in Evisane, so the team only has to assign a technician, confirm the time and let the customer know.
4. It sends a reminder the day before the visit
Since 12 October 2026, at 10:00 on the day before each visit that already has a technician assigned in Evisane, the agent writes to the customer with the arrival slot (8:00 to 12:00 or 12:00 to 16:00) and two buttons: confirm or ask for a change. If the customer confirms, it is recorded; if they ask to change it, the agent passes it to the team. For a pest control company, a failed visit means a technician standing idle for half a morning.
5. It passes the team whatever needs a person
Maintenance visits for customers who already have a contract, guarantees, complaints, a video that needs reviewing or a technician running late reach the team by email, with the case summarised, the level of urgency and the photos or video attached. Because the AI and the team share a number, anyone at RapiPlaga can write in the chat from the WhatsApp Business app, and the AI stops replying in that conversation.
6. It gives the owner the figures
Since 4 October 2026, the agent records what happens in each conversation (price given, pest, location, appointment requested, case passed to the team), and Juan, the owner, sees the summary whenever he wants by sending /resumen (Spanish for "summary") to his assistant. The figures in this article come from there.
What results has it delivered? Figures from 4 to 13 October 2026
| Indicator | Figure | What it measures |
|---|---|---|
| Conversations handled | 174 | Separate chats in which the AI replied at least once |
| Replies sent | 788 | Messages written by the AI |
| Quotes given | 23 | Conversations in which the AI gave a fixed price from the price list |
| Average quote amount | €341 | Average of those quotes |
| Appointment requests | 11 | Appointments taken by the AI and passed to the team and to Evisane |
| Conversations that started out of hours | 39 (22%) | Measured against the hours published on its website: Monday to Friday from 8:00 to 18:00 and weekends from 12:00 to 18:00 |
| Replies between 22:00 and 7:00 | 69 | AI messages in the middle of the night |
| Visit reminders (since 12 October) | 14 | Day-before messages from the Evisane schedule: 5 customers confirmed with the button and 2 asked for a change |
| Conversations in which the team stepped in | 129 | Chats in which someone from RapiPlaga wrote from their app and the AI stepped aside |
In those ten days, the most requested pest was the German cockroach (11 quotes), followed by bedbugs (7) and rodents (5). By location, Málaga (12), Marbella (6) and Mijas (3). Among the cases passed to the team, the most frequent reason was maintenance appointments (35), followed by existing customers asking for another visit (22) and guarantees or complaints (18).
The honest reading: the AI does not replace RapiPlaga's team. It takes the first reply, the price and the data collection off their hands, at any hour, and hands them the rest already organised. That is why the number of conversations in which the team steps in is high: a good share of the people who write are already customers.
What doesn't the AI do?
- It does not diagnose the pest. It can say what it looks like from the photo, but only as a hypothesis: the technician confirms it, and if there is any doubt the case goes to the team.
- It does not assign a technician or confirm the time. The appointment goes into Evisane unassigned and the team schedules it.
- It does not give prices outside the price list. If the location or the service is not in the matrix, it passes the case to the team.
- It does not reply to contacts the team always handles. RapiPlaga has a list of numbers the AI does not answer.
- It does not chase customers. RapiPlaga decided not to send follow-up messages to people who asked for a price and did not reply.
How was it set up and how long did it take?
- 3 July 2026: RapiPlaga fills in the onboarding form and hands over its protocols and prices document and the coverage matrix of 112 locations.
- 4 July: Tubot builds the agent with that price list and those protocols, and works through the questions that come up with the company (opening hours, coverage, payment methods, guarantees for each service).
- 21 July: the agent starts answering on the company's real number. Over the following weeks it is fine-tuned based on what Juan sees in real conversations.
- 16 September: Evisane is connected so that each appointment request goes straight into its schedule.
- 4 October: the figures log and the owner's summary start.
- 12 October: the day-before reminder is switched on.
Today Tubot sets up an agent like this in one week, without interrupting the client's operations.
How much does a digital employee like RapiPlaga's cost?
From €249 a month, with no setup fee, an annual commitment, and maintenance, support and improvements included. The final price depends on the scope and comes out of a free 30-minute audit.
Frequently asked questions
- Can an AI give pest control prices on WhatsApp without getting them wrong?
- Yes, if the price is not decided by the model. At RapiPlaga it is worked out by a calculator with the company's price list and location matrix; the AI only asks for what it needs (pest, property, location) and passes on the result. Anything that does not fit the price list goes to the team.
- Does the customer know they are talking to an AI?
- Yes. The agent introduces itself as an AI assistant in its first message, as required by Article 50 of the EU AI Act.
- What happens if the customer wants to talk to a person?
- The AI passes the case to the team with an email summarising it, and anyone at the company can join the chat from their WhatsApp Business app: the AI steps aside.
- Does it work with Evisane?
- Yes. At RapiPlaga each appointment request creates the customer record and an unassigned appointment in Evisane, and appointments with a technician assigned in Evisane trigger the day-before reminder.
- What if my company does not use Evisane?
- The agent works the same way on WhatsApp and passes appointments to the team by email. It also connects to Google Calendar, and to other management software if it has an API.
Methodology and sources
The figures come from the milestone log of Tubot's engine, which records, with a date, what happens in each conversation (reply, price given, appointment request, reminder, team takeover). The log started on 4 October 2026, so the measured period runs from 4 to 13 October 2026. Separate conversations are counted, not messages, and internal tests are excluded. The reference hours for "out of hours" are the ones RapiPlaga publishes on its website, in Madrid time. RapiPlaga has authorised the publication of its name and of these figures.
